e-IC user manual

Here you can find instruction how to buy a ticket in e-IC system.


The e-IC sales system allows for individuals to purchase tickets for themselves or third parties. The system makes it possible to purchase tickets with free-of-charge seat reservations or with a note “seat not guaranteed”, with a seat in the management compartments, or with a sleeping compartment or couchette reservation on trains run by PKP INTERCITY S.A.. Purchases are possible after registering and correctly logging into the e-IC system.

Registration
To register in the system, go to www.intercity.pl and select the option ‘My e-IC’ from the navigation bar at the top of the page. Then, fill out the registration form.
Information on the form is divided into two columns, with the left side containing required user information. The following fields are marked with a red asterisk (*) and must be filled in:
  • ‘Login’: enter a username using a minimum of 6 characters. Characters such as ‘@’ (at) and ‘.’ (period) are recognised, to an email address can be a valid username.
  • ‘Name and surname’: the User’s first and surnames must be entered.
  • ‘Password’: enter a password of 8-15 characters.
  • ‘Repeat password’: the password entered in this field must be exactly the same as the one entered in the ‘Password’ field.
  • ‘Email’: requires a valid address that includes an ‘@’ (at) and ‘.’ (period).  
Filling in the VAT invoice information in the right-hand column is optional. If these fields are completed, it will not be necessary to give information to enter information for each generated invoice as it will be automatically entered (with an option to edit and correct it).
  • In the field ‘Company name’, enter the details of the individual or firm for whom the invoice should be issued.
  • In the field ‘NIP’, enter the company’s NIP. For VAT invoices issued for individuals, enter a ‘-‘ (minus) in this space.
  • In the ‘Street’, ‘Postal code’ and ‘City’ fields, enter the purchaser’s address. If the correspondence address is different, tick the ‘Correspondence address’ check-box and enter the appropriate information.
Ticking the check-box “I agree to having the VAT invoice sent to me at the email address provided” will allow for VAT invoices to be sent to the User’s email address.
To open an e-IC account, Users must confirm that they have read the e-IC Regulations by ticking the check-box: “I confirm that I have read and accepted the terms and conditions of the Regulations of online ticketing for domestic travel by the PKP Intercity Stock Company [S.A.], known as the e-IC Regulations.”
 
System Login
Registered users may log in to the system by entering their login and password information via the ‘My e-IC’ link available on the top navigation bar on the InterCity homepage (www.intercity.pl).
System functions
Users who are not logged into the system may search domestic connections and check domestic fares.  
After logging in, Users may make reservations and purchase tickets. Other services include checking international fares and purchasing tickets to international destinations, advance ticket purchase options, and changing passwords and other login information.
  • My tickets
This tab contains a list of the User’s completed transactions. It is divided into the following sections:
  • ‘Payment pending’ – a list of tickets for which the e-IC system has not received an electronic payment confirmation notice.
  • ‘Paid’ – a list of tickets that have already been paid for. A preview of the ticket is available in the ‘Ticket Type’ list (after clicking on the ticket number); the ‘Resignation’ column contains the ‘Resign’ option, which can be used to return (resign from) a ticket. This tab also contains the functions: ‘print ticket’, ‘save as a PDF to a mobile device’, one-time changes to passenger information and the option to issue a VAT invoice within 7 days of purchase.
  • ‘Returned tickets’ – a list of tickets from which the User has resigned (using the ‘Resign’ function in the ‘Paid’ tab, and a list of tickets from which the User has received the auto-return of payment (using the ‘Return’ option in the ‘Payment status’ column). The tab also contains an option for downloading an updated invoice for the returned ticket.
  • ‘Cancelled tickets’ – a list of transactions from the last 7 days that have been cancelled either by the User or automatically by the system before payment was completed.
  • ‘VAT Invoice’ – a bookmark that contains the options: ‘make a VAT invoice’, ‘edit invoice’ and information that the invoice has been mailed.
  • Search your connection
The Connections page allows Users to search for connections and purchase tickets to domestic and international (currently only the Berlin-Warsaw/Gdynia Express trains are available) destinations.  
  • After selecting the departure and arrival stations, and the departure date and time, click on the ‘Search connections’ button. A list of trains will then appear. By selecting the ‘Earlier’/’Later’ features, Users can view a list of trains that depart at different times. Clicking the ‘Purchase ticket’ option and then ‘Next’ on the following page will begin the ticket booking and purchase process. Depending on the type of services available, some trains will feature the drop-down menu ‘Buy a ticket – connection details’ in the ‘Seat type’ column, allowing Users to change the default seat assignment to a sleeping compartment or couchette.
  • On the next screen, the User should specify the number of people (max. 6) for normal and/or reduced fares. The type of reduced fare must be specified at this time, and Users can only choose one type of discount per transaction. Next, Users should select the class and carriage type, and the seat location. If Users, whilst purchasing another ticket, want to reserve a neighbouring seat, they must selection the option ‘Reservation next to an already occupied seat’ and give the appropriate carriage and seat reservation numbers.
  • Users with InterCity Colour Passes who want to receive an additional free-of-charge seat reservation must select the option ‘I have an Intercity Colour Pass and enter the Pass code. If the Passenger is a different person to the account holder, his/her name must be entered.
  • After clicking ‘Next’, the ‘Ticket and price information’ page will be displayed. Clicking ‘Next’ again will call up the system login page, where Users must enter their username and password (or register in the e-IC system). Users will then be taken to the reservation system, where they will view the ‘Summary’ page, which contains detailed information about the ticket, price and seat reservation(s). In the event no seats are available on the selected train, an appropriate warning asking for confirmation to continue the transaction and purchase a ticket without a guaranteed seat will appear.
  • On this page, the Client may also state if a VAT invoice is required. Upon ticking the ‘Issue a VAT invoice’ check-box, a form where the Client can enter his/her billing information will appear. If this information was already entered in the registration form, it will be filled in automatically. The information can be edited. Users can choose to have the invoice delivered electronically.
  • The price of international tickets is calculated by reserving a seat, so Users wishing to purchase international tickets must log into the e-IC system. Then, the ‘Summary’ form with detailed information about the ticket, price and seat reservation(s) will be displayed. Below the summary for the reserved ‘THERE’ ticket is the ‘Return ticket’ button, which allows for Users to simultaneously buy a ‘RETURN’ ticket. In buying a ‘ROUNDTRIP TICKET’, Users should enter their route again according to the above instructions, giving information about the return journey. When buying a ‘ROUNDTRIP’ ticket, it is possible to return the ‘RETURN’ ticket or the entire ‘ROUNDTRIP’ ticket at the same time. Users who would like to obtain an invoice should follow the same instructions as for generating invoices for domestic tickets. 
The displayed ticket summary allows for Users to verify all required information, and either proceed to checkout or resign from the purchase (by clicking ‘Cancel’). Payment may be made by credit/debit card or bank transfer. MasterCard, VISA and AmericanExpress credit/debit cards are accepted, or the purchase can be made using the eCard or Przelewy24 online transfer services. Payment may be deferred for a period of time by selecting the ‘Pay later’ option. A message with information about the deadline for the system to receive confirmation of payment from the User’s bank will then appear. Should the transaction not be paid for in the allotted time, it will be cancelled automatically. If the e-IC system receives payment confirmation from the User’s bank later than the allotted time, the funds will be returned automatically to the User’s account if eCard was used or returned upon the User’s request if the Przelewy24 service was used. If not return request is made, the payment will be used as credit toward the purchase of another ticket.
Once payment has been correctly confirmed, the system will then generate the ticket what Users must either print or save to a mobile device. To print the ticket, go to the ‘My tickets’ page and then to the ‘Paid’ tab to locate the appropriate ticket and then print it or save it to a mobile device. Using an electronic ticket (saved on a mobile device) is only allowed on domestic trips; international tickets must always be printed.
  • My data
This page contains a form with the account holder’s information that can be changed at will (following the rules set out in the ‘Registration’ section) and confirmed by clicking ‘Save’. These changes do not cause modifications on tickets issued earlier.
Change password
This tab contains a form allowing you to change your account password. Users should enter their new password twice.
